Refreshing How Users Build Candidate Relationships

We redesigned Talent CRM to make it easier for recruiters to stay connected with great candidates. The new experience helps teams organize and manage their talent pools with less manual work—automatically keeping candidate information fresh and making outreach more effortless and timely.

Leading Design and Collaboration Across Teams

I’m leading the design process from early concept through launch. I work closely with our Product Manager, Engineers, and Consultants to capture and act on user feedback. I also stay connected with our Marketing and Customer Support teams to help share the right stories with users and support business goals.


Problem Statement

While users appreciated having a space to manage candidate relationships, the current setup made it difficult to get the most value. They faced key challenges that slowed them down and added extra work:

  • Unclear Organization and Setup
    Organizing and managing candidates was unclear, causing confusion on how to best set up and maintain talent pools. Extensive setup was often required before users saw real benefits.

  • Time-Consuming Manual Maintenance
    Users had to create and update talent pools manually, add candidates, and maintain them over time. This process was tedious and took away from the time users could spend nurturing relationships.

  • Missed Opportunities to Nurture Relationships
    Staying in touch with candidates was inconsistent and easily missed, as follow-ups relied on manual reminders and personal effort. This often resulted in missed opportunities to nurture relationships and keep candidates engaged over time.


Goal

Our goal was to simplify managing and growing candidate relationships with reduced manual effort.

We focused on making the talent pool organization clearer, automatically keeping candidate pipelines fresh, and helping users connect with the right candidates at the right time in a more personalized and seamless way.


Research

To understand user frustrations, I collaborated with Product Managers and Value Consultants, engaging with existing CRM users at Findem. We identified key pain points by reviewing the current CRM structure and its information architecture. Based on these insights, we prioritized three areas for improvement:

  • Mixed Concepts: Talent Pools and Talent Communities were combined into one concept, creating confusion and difficulty in organization.

  • Manual & Tedious Tasks: The process of adding, organizing, and segmenting candidates was time-consuming, leading to missed opportunities for relationship nurturing.

  • Lack of Flexibility: Users struggled with limited options for Precision Targeting, hindering personalized outreach.


Design

We successfully launched our executive search solution to over 3,000 users across the US, UK, Germany, Japan, China, Australia, and beyond, making a meaningful impact, including:

Talent Pool & Community Management

To address user frustrations with unclear organization, we separated Talent Pools and Talent Communities, simplifying candidate organization and helping maintain fresher pipelines with less manual effort.

  • Clearer Structure: Talent Pools now focus on qualified prospects for specific roles, while Talent Communities engage broader audiences for brand awareness.

  • More Focused Nurturing: With better organization, users can focus on connecting with the right candidates at the right time.

Sourcers focus on activating qualified candidates for specific roles by managing Talent Pools, occasionally nurturing key relationships, and checking if candidates are active in Talent Communities.

TA Operations support the sourcing team by maintaining Talent Pools, importing lists, and sending campaigns to engage large groups, occasionally pulling candidates from Talent Communities.

Talent Marketers grow and engage broader Talent Communities, managing signups, consent, and marketing campaigns, but rarely interact with Talent Pools directly.

Dynamic Talent Pools Design

We introduced Dynamic Talent Pools to automate candidate management and reduce manual curation. Talent Pools now automatically populate based on configured searches, saving time and allowing users to focus on building relationships with candidates.

  • Automated Candidate Management: Users can set dynamic filters for Talent Pools, ensuring they stay up-to-date with minimal effort.

  • More Time for Relationship Building: With automation handling candidate management, users can focus on connecting with and nurturing candidates.

Design Leadership

Since 2022, I've been the lead designer for Tenant CRM, one of Findem's core products. My main role involves crafting designs that align with our business goals and provide a great user experience.

Daily Dev Meetings

We’ve had daily meetings dedicated to its development and enhancement. I collaborate closely with project managers, front-end and back-end engineers, and test and support teams. During these meetings, we conduct regular User Ability Testing (UAT) to ensure that the product meets our vision and specifications.

User Experience Monitoring

To maintain a seamless user experience, we also utilize tools like FullStory to monitor user sessions and identify areas for improvement. Platform platforms like Miro, Monday, and Jira are valuable resources for documenting action items and user requests, facilitating efficient communication and project management

After the launch, we've been dedicated to enhancing and expanding the user experience.

Enhancement 1

Quick Definition Lookup

We've implemented a quick way to look up word definitions within profiles. Now, users can easily clarify unfamiliar terms or keywords by dragging a word or phrase and clicking 'Ask AI.' The AI assistant promptly displays its definition directly within the chat section, allowing for uninterrupted profile review.

Enhancement 2

Customizable Quick Prompts

To help users navigate the wide range of talent data insights available, we've introduced three prompts or suggestions to guide them on how to begin. Users can start a chat using one of these prompts or type in their query.

Additionally, users can personalize these prompts to reflect their company's branding and tone. This feature enables users to efficiently use AI-generated responses, ensuring that their communication aligns with their company's voice when sharing profiles with hiring managers or reaching out to potential candidates.
